Job Description

We are seeking a detail-oriented and experienced Payroll/Accounting Specialist to join our team. The ideal candidate will be proficient in Paylocity , have a strong grasp of job costing , and understand the complexities of union payroll input and compliance . This role requires a high level of accuracy, confidentiality, and an ability to work independently and collaboratively across departments.

 

Key Responsibilities:

· Process weekly payroll using Paylocity , ensuring accuracy and compliance with company policies and relevant regulations.

· Manage and track job costing to accurately allocate labor costs to specific projects or cost centers.

· Input and validate union-related payroll data , ensuring correct fringe benefits, dues, and compliance with union agreements.

· Maintain payroll records, audits, and reporting for both internal and external stakeholders.

· Collaborate with HR and accounting teams to resolve payroll discrepancies and improve process efficiency.

· Ensure timely submission of payroll taxes, garnishments, and other required deductions.

· Stay updated on federal, state, and union-specific payroll regulations and changes.

· Generate financial reports and assist in budget tracking, cost allocations, and variance analysis as needed

· Support accounts payable/receivable functions, including invoice processing, vendor payment reconciliation and back deposits

· Assist with audits by providing payroll records and documentation as requested by internal or external auditors.

· Reconcile payroll-related general ledger accounts, prepare journal entries, and assist with monthly and year-ending closing procedures

· Support the preparation and submission of financial reports for leadership

· Maintain accurate financial records of all transactions

· Implement and monitor internal controls to safeguard company’s assets and ensure the accuracy of financial reporting

Qualifications:

· 3+ years of experience in payroll processing, preferably in an industry with union labor.

· Proficient with Paylocity payroll software.

· Strong understanding of job costing and labor allocation principles.

· Familiarity with union payroll requirements , collective bargaining agreements, and multi-state payroll laws.

· High attention to detail and ability to manage multiple priorities.

· Excellent organizational and communication skills.

· 2+ years of experience in accounting

Preferred Qualifications:

· Experience in QuickBooks

· Knowledge of certified payroll or prevailing wage reporting

· Understanding of GAAP
