Job Description

Join our team as an Executive Assistant supporting C-suite executives in a dynamic and fast-paced environment. The Executive Assistant will play a key role in ensuring the smooth operation of daily executive functions, acting as a liaison between leadership, internal teams, and external stakeholders. Responsibilities

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements
  • Prepare and edit correspondence, reports, and presentations
  • Coordinate internal and external meetings, including preparing agendas, taking meeting notes, and tracking follow-up actions
  • Handle confidential and sensitive information with discretion and professionalism
  • Act as a liaison between executives, internal teams, and external stakeholders
  • Monitor and prioritize incoming communications, ensuring timely responses to urgent requests
  • Support executives in managing and tracking department budgets
  • Assist with special projects and event coordination as needed
  • Maintain accurate records and case files in both physical and digital formats
  • Communicate with clients, opposing counsel, and court personnel as required
  • Assist with office management tasks, including maintaining office supplies and supporting front desk operations as needed
  • Contribute to a clean and efficient office environment, including performing light cleaning and restocking duties

Qualifications

  • Bachelor’s degree preferred
  • Previous experience in an office administrative or executive assistant role preferred
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office equipment
  • Exceptional organizational and time-management skills
  • Strong verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • High level of professionalism, discretion, and confidentiality
  • Ability to work independently and collaboratively
  • Attention to detail and strong problem-solving abilities
  • Positive attitude and willingness to contribute to office operations, including light cleaning tasks
  • Ability to sit for extended periods and occasionally lift up to 20 lbs
  • Reliable attendance during business hours
  • Ability to travel infrequently if required
